Medical Invoice Templates

When we talk about a medical facility i.e. a hospital or a clinic, it’s really important to keep a steady cash flow because most of the patients provide insurance instead of paying in cash, and getting money from the insurance company can be a long process. This makes it more crucial for the facility to get the payments from their patients on time.

Asking someone to pay the money they owe can be awkward especially when you work in a medical facility. Imagine seeing someone with their loved ones on the deathbed and receiving a bill to pay immediately. Further, you can understand how depressing it can be. But, there is a way to make this process a little smoother and more professional. In order to politely ask your customers or patients to pay their medical bills, you can send them medical invoices. However, an invoice is a formal bill of the services availed by someone with the details of the money that they owe to the service provider.

Elements of a professional medical invoice:

  • Name of the service provider i.e. hospital or private clinic
  • Address and contact information of the service provider
  • Name of the patient
  • Contact details of the patient
  • Emergency contact details of the patient
  • The date on which the invoice is created
  • The date on which the patient was admitted to the hospital
  • Details of the medical procedure or services provided
  • Details of each treatment with the relevant data
  • The date on which the patient was discharged
  • Doctor’s stamp and signature

What things a Medical Invoice should Include?

A medical invoice should include:

  • Description of all the visits, procedures, and medication.
  • The charges by per hour of each service provided to the patient.
  • The subtotal, tax, and the total payable amount.
  • All the terms such as the due date and the penalties.

Usually, for a doctor or hospital, a medical invoice ensures that the bill of the patient is properly calculated and entered into the record. They can use this invoice in the future to get the total bill of the patient.

Guidelines to create Medical Invoices:

A medical invoice works as a record and a bill of treatment. This invoice provides a breakdown structure of all the medicines and services provided to the patient with respect to their charges. According to the medical debt relief act, a patient with a good balance should be granted a period of 100 or 180 days for the payment of the bill. So he can easily pay his bill at once. A medical invoice should include the name of the clinic, and details of the doctor and the patient so that this information could be used in the future. It also secures the payment of the bill.

Here we have listed some tips to help you out:

  1. Keep it Simple and Brief:

The purpose of an invoice is to inform the patient about the pending or due payment and it should be kept that way. Keep in mind that if the patient has medical insurance, he will receive an explanation of benefits document from the insurance provider and this document can be considered as an invoice by mistake or vice versa. In order to make sure that your patient understands that this is in fact an invoice, you should choose a format that appears like an invoice.

  2. Add full Details of the Services:

When it comes to medical bills and invoices, there are lots of grey areas and places where ambiguity can exist. In order to help and assist your patients in getting a full knowledge of what procedure was done and what services were provided by the healthcare facility, you should describe each service briefly on the invoice.

  3. Clearly describe Payment Details:

Then there is the part where you should put the amount due for each service or procedure is done on the patient. Adding a final due amount is enough for the invoice but it’s not ideal. The client or patient might want to see how much each service or procedure costs and if it’s covered by their insurance provider or not.

  4. Add Payment Options:

A great way to assist your patients and they’re next of kin is to provide multiple payment options on the invoice. Clients never like the invoice where they are given specific instructions to make the payment via check, in cash, or with a credit card. Instead, they want to see a few options so they can pay the invoice at their convenience.

  5. Send Invoice in an Appropriate Manner:

Some patients prefer to see hard copies of their invoices while some prefer getting soft copies by email. A professional approach to tackle both types of customers is to send a hard copy as well as a soft copy in the email. One thing to note here is to add an invoice number, so the client doesn’t consider seeing two invoices as two separate payable bills.
